Brewball is a one-of-a-kind event that combines the love for craft beer and the excitement of a 24-team softball tournament into an unforgettable experience. It is set to take place at Softball City Surrey, a renowned sports complex known for its top-notch facilities and vibrant atmosphere.
At Brewball, attendees can expect a showcase of BC’s best breweries, cideries, and wineries. Craft beer enthusiasts will have the opportunity to indulge in a wide variety of unique and flavorful brews, ranging from hoppy IPAs to smooth stouts, crisp ciders, and fine wines. With a focus on local and regional producers, Brewball celebrates the rich and diverse craft beverage scene in British Columbia.
The craft beer garden will feature breweries, cideries, and wineries. The craft beer garden will run on Saturday & Sunday.
This will be a ticketed event allowing guests to taste all of the breweries/cideries/wineries without having to purchase drink tokens.
Important Information:
As this is a charity event, we are asking that you donate 2 x 50L kegs. You are welcome to do one or two SKUs. These need to be draft products and need to be provided to and approved by the Brewball Inventory Manager.
Additional kegs could potentially be purchased but Brewball has to authorize the tapping of each and every keg. Tapping a keg without permission from Brewball will result in Brewball not purchasing it.
HOW BREWBALL TRACKS INVENTORY/BUYS KEGS
Example – 50L KEG
50L keg -> 1690 oz
Foam/Spillage = 5-7%
Net Ounces for Samples = 1572-1605 oz
Each sample is 4oz + (0.25oz) head = 4.25oz
Total Samples Per Keg: 1605/4.25 = 377
Please keep in mind we have a budget of $3-$4/L for beer and up to $5/L for cider and will ask you to make a different selection if your products are too expensive. All product ordered for each Manufacturer must be a registered SKU with LDB.
Following the event, we will be asking for a consolidated invoice reflecting what product you poured during the event. We will then pay for used product by credit card up to 60 days following the event, providing the updated invoice has been sent to us.
REFRIGERATION
There is complimentary reefer storage onsite. Each participating brewery will have a maximum of 4 keg spaces in said reefers. We will have a dedicated inventory team and replenishment system; one that will be explained in more detail closer to the event.
VENDORS ARE RESPONSIBLE FOR PROVIDING THE FOLLOWING ITEMS FOR THEIR BOOTHS:

Beverage Pouring Equipment, e.g.
- Jockey Boxes
- Beer Gas
- Keg Tubs
- All Small Bar Supplies required for beverage service staff
- Booth Staff
EACH 10’ X 10‘ ACTIVATION INCLUDES:
- 10’ x 10’ space
- Dump bucket
- Ice (available for pre-order by vendors from Brewball ice supplier at a discounted rate. Order process will be sent to vendors closer to the event)
- 4 staff wristbands
- Insurance
- Security on site

RENTALS
If required, we can arrange the following items for an additional charge:
- 8’ wooden table $40.00
- 10’ x 10’ tent $200.00
Any rentals must be confirmed with Brewball by June 21 2024.
RECEIPTS/DOC 60s
All vendors are required to possess BC Receipts/Doc 60 as stated in our Special Event Permit. During booth check-in, documentation (BC Receipts/Doc60s) must be provided and will be retained throughout the event. The settlement for Doc60 will take place after the event, considering tapping and usage.
The Brewball inventory manager will be responsible for receiving and monitoring all alcohol inventory. Further instructions regarding delivery and receiving will be provided closer to the event. Liquor Inspector Requirements It is your responsibility as a brewery to make sure you meet all the requirements. During Load In you will be asked to show all the information below. Please note, you will NOT be able to pour product until all requirements are met.
- All Manufacturers or Agents attending a tasting event must be a licensed
manufacturer or Licensed Agent with a copy of their license at their vendor
table. *Please note this will be subject to inspection by the local liquor inspector onsite* - The Licensed Manufacturer’s name must be clearly (Larger than the name of the product) displayed at their vendor table.
- Product Representatives – Verification and SIR
- All product used for each Manufacturer must be registered with LDB.
- A representative from each Manufacturer must be at the vendor table for the entire event
- An accurate copy of each product’s Licensee-Agency Order Form (Doc 60) must be at each manufacturer table for inspection.
- All serving staff members are required to possess a valid copy of their Serving it Right certificate, which must be available for inspection by the Liquor Board throughout the event. It is essential to have a valid government ID alongside the certificate. Certificates can be in either digital or physical format.
- All servers are prohibited from consuming liquor at this event while on duty.
- Contract Manufacturing: ‘Brand tastings’ must clearly identify the name of the
licensed manufacturer as the primary name at the vendor table and a signed letter of authorization from the manufacturer allowing a third party to represent the product. - Vendors will be in contravention if you do not comply with the liquor inspector’s requirements.
